Add multiple documents to Next®
New feature to make life easier for you who often add many documents to Next®.
When you click Add document, and select a number of files, you create a single document in Next® with multiple attachments. For example a contract and all it's appendices.
This new feature - Add multiple documents - lets each of the selected files become an individual document in Next®. They will share the same set of metadata, such as customer number and project number, but retain their individual characteristic such a file names. This new feature can save you a whole lot of typing, when you move many documents into Next®.
Add Multiple documents
To select Add multiple documents, simply click the down arrow to the right of the green Add button.
Select Add multiple documents and go on as before. Except now each of your files become an individual document in Next®.
The dialog for adding multiple documents is no different from before.
Next® will remember your choice to add multiple documents. If you ever need to go back to adding multiple files as a single document with multiple attachments, click the down arrow to the right of Add multiple documents and select Add documents.
Using drag and drop
Exactly the same capabilities are available when you use drag'n'drop, to archive your documents.
Drop to the left, to archive as before. Drop to the right to create separate documents in Next®.
Drag your files to the left side area to archive them as one document with several attachments. Drag your files to the right side to create individual documents for each file.
For the techies
When you add say 5 documents to Next® in one go using the Add document form, they will all get the same metadata in Next®.
Add multiple documents
Project number: 4711
Reference date: 1-11-19
All 5 documents get the Project number 4711, and the Reference date 1-11-19.
For the user to be able to distinguish the individual documents it is important that there are metadata that does not come from the Add multiple document form. This may be the file name, or any other data fetched using an extractor. The user may of course also enrich the documents afterwards.
Future enhancements
In a later release we will add the same functionality in the email clients. Here you will have two options.
- Archive in Next®, and
- Archive in Next® as multiple documents.
