Compare documents and revisions
Managing your important documents in Next® makes good sense for many reasons. With compare documents, we add one more reason.
Now you can select any two documents and ask Next® to report on the difference between the two.
Maybe two revisions of a pricelist, where the author forgot to make a note to why the second revision was needed.
Or - a draft contract coming back with comments from your next customer.
Missing out on a single changed decimal point, or a deleted sentence, may be crucial in such cases. Next® will now help you cope with that.
Comparing two documents
If you wish to compare two individual documents in Next®, I find the easiest way is to pin the two with the same color of pins, and compare them in Pinned documents.
Select the two documents, right-click Compare documents.
Select the two documents, right-click, and select Compare documents. In a few seconds, you get a notification with a link to the Compare result. Easy as that.
Comparing revisions
One thing is comparing two individual documents in Next®. But sometimes it's equally relevant to compare two revisions of the same document
From the business log, you can tell that Benedict Wade made the newest revision of the property lease contracts only two months ago. But what exactly did she change compared to the version from 2 or 4 years ago?
In the Document view click Compare revisions. From the list of revisions, choose the one you'd like to compare with.
I chose to compare the current revision with that from 2 years ago.
In a matter of seconds, you get a notification with a link to the result of the comparison.
The Compare report is automatically archived in Next® - only a click away. And ready to share.
The compare result
The compare report clearly indicates what is added, changed, and deleted.
Future enhancements
Comparing documents is not easy. The technology we use gets better all the time. For now Compare documents works with PDF documents, but in a soon to come release we also support Word, Excel, and PowerPoint. And even comparing documents in the native Office formats with PDFs.
The UI for selecting another revision to compare with, would benefit from additional details - as to who made it and why. Maybe as a fly over. We'll look into that for the coming release.
For the techies
For Compare to run, you need the latest version of Next® Transformation Engine up an running.
Comparing documents and presenting a valuable result is not an easy task. Depending of the actual document format, the comparison report sometimes looks less nice than you could wish for. To verify how your documents would be compared, you can try out the technology on this webpage:

Commercial terms and conditions
This new feature is available for comparing 1-sided documents at no additional cost, to users with an active service plan.
If you want to compare multi-page documents, you will need to pay small additional license fee.
