One-click reclassify documents in Next®
Documents in Next® are classified using their Document type: Sales invoice, Employment contract, and Price list are all examples of different document types, with their own set of metadata and permissions.
Modifying the information on an archived document is easy - provided you have the permissions to do so. Click Edit, modify the information, and Save. You will notice that when you modify information on an archived document, you cannot change the Document type - the classification of the document. With Reclassify document you now can.
Reclassify a document
If you by mistake have archived a Customer letter as a Customer email - you can now rectify your mistake with only a few clicks. No need to delete and archive again.
Select the alleged Customer email, click Reclassify, and select Customer letter as the new type. Then click Save. As easy as that.
Reclassify document, change type, Save - as easy as that.
If you change to a type that requires more information, you'll be asked to provide that. When you change from Contract, draft to Contract, signed, Next® may ask you for Signer and Date of signature. Everything else is carried over.
A real timesaver for those who work with many documents
For the techies
Next® will keep the information where the naming of metadata is identical.
Any actions associated with creating a new document are activated, when you change a document type.
The Reclassify document, is controlled by a built-in Reclassification policy with usage - defining who can use it and on what documents.
You may set up your own Reclassification policies for more specific uses.
If, for example, you have a business process where you change a "Contract, draft" to a "Contract, signed", we suggest that you define a specific Reclassification policy for that purpose.
"Mark contract as signed", is much more meaningful to a user that just "Reclassify document".
Set usage for this specific Reclassification policy to accept only: "Contract, draft", allow only: "Contract, signed". And to be visible for the select few.
