Enhanced role-based delegation of authority

New optional feature for Next® Invoices customers and a valuable add-on to Next® Contracts.

Today, the approval limits imposed by Next® Invoices is maintained on an individual level. How much are you as an individual allowed to approve? Very often this knowledge is maintained in an external system, and automatically updated in  Next®.

For those who do not have an external system maintaining detailed delegation of authority rules in place, we now introduce comprehensive new functionality in Next® for this.

The Enhanced role-based delegation of authority allows you to define and manage your organization and it's rules for authorizations and approvals.

A simple example: 

  • Any Department Manager can approve any Purchase Invoice up to 1.000 €.
  • A Department Manager can approve a Purchase Invoice related to their own department up to 10.000 €.
  • The Department Manager for Admin & Finance, can approve a Purchase Invoice related to Admin & Finance up to 25.000 €.
  • In the period from 1.01.23 to 31.21.23, the 25.000 € is extended to 100.000 €.




  

The list of DOA rules may be quite comprehensive. Luckily you can filter to see only what is relevant for you. 


Prepare for changes in advance

Not only does Enhanced delegation of authority support validity dates for each rule, but it also with a built in two-phased publishing feature, as we know it from our Mailroom rules. That is, you may choose to add, remove, or change rules, but not bring them into effect before you click the Publish button. Either on each rule or a selection of rules. 

Separation of duties

In order to cater for organizations with strict separation of duties, you can authorize different individuals to the task of maintaining the rules, and publishing them.

Being able to manage your rules for delegation of authorization based on individuals, groups, and roles is a major enhancement of Next®. An enhancement that makes it much easier to secure that your corporate rules are enforced. At the same time, the management becomes much easier. 

For the techie ones

You may still choose to feed either some or all the rules from external systems using the REST API.

Future enhancements

In a soon to come release of Next® Invoices we will provide you with a set of built-in standard roles, and allow you to map your organization into these roles.   

In a future release of Next®, we will introduce an organization builder, that allows you to define your organizational relations in Next®.
