Manage your Office templates in Next®

Why would you manage your Office templates in Next®?

For exactly the same reasons, you would manage any other documents - that are valuable to your business - in Next®.

Efficiency, security, compliance, and ease of use

If you manage your Office templates in Next®, you will know that each new revision or edition of a template is created, managed, and released in the most efficient way possible. Only the designated template owners can make changes to their templates. And, they are in full control of the entire process, and have everything documented automatically.

Depending on your requirements, you may even wish to enable Extended edition management for your templates.

Your end users will have easy access to exactly the templates they need to do their job. And nothing more. And always use the most current revision of the templates.

One-click Edit new document, from the Template catalog in Next®, makes it extremely easy to use the templates.

Right click Edit a new document, fill in the details and Word will start up

Once you close down Word (or Excel and Power point), your new document is already in Next®.

BTW: Templates of type DOTM will have their built in macros run, to do whatever magic you have in there.

If users prefer (and are allowed) to work directly out of Word, Excel, and Power point, you can use either Next®-drive, or Office 365 CDN (Content Delivery Network) to make the templates available locally.

Each organization has their own priorities, but don't forget that documents you create outside Next® do not become company shared assess until they are secured in the enterprise archive.

The business log

Whenever you create a new document in Next®, it is logged in the business log. Including what template you used.

Future enhancements

In a future release, you will be able to use data from within Next®, and automatically merge it into your Office document.

If you create a customer document, provides the document id, then Next® will merge customer name and address into the document. And automatically file it with the right metadata.

If you create the document from within the customer folder, Next® will automatically fetch the Customer Id.

Additional information

Next® will not in itself provide more advanced template and merge functionality than this.

For more advanced document composition we refer to dedicated tools like Templify, with whom we plan seamless integration.

Please refer to the online product guide for additional information on this feature, once it is released.

Commercial terms and conditions

This new optional feature is available for an additional subscription fee to users with standard edition of Next® Contracts or Next® Enterprise Archive.  Any consultancy assistance will be invoiced in addition.
