Roles and dynamic permissions in Next®

New feature for those who need advanced document access control throughout a document lifecycle in Next®.

Often, when migrating from legacy file systems into working with a document management system such as Next®, it soon becomes obvious that using a fragmented and unstructured approach to managing access to individual documents is no longer an option. However, this doesn't mean that access permissions cannot be fully managed in Next® and changed dynamically according to variable business needs. On the contrary, it can, but in a much more structured and audit-proof way. In fact, with Next® you can easily change document access without loosing information on who did what and when with any document.

However, until now Next® falls short when managing dynamic access to documents, which change their permissions regularly (e.g. daily or weekly) on a user role basis. Now, we are introducing a roles based permission management concept with Next® that will change that.

Access to each document in Next® can now be handled dynamically and evaluated in runtime. And, at the same time Next® still ensures full document security - no matter whether you search for documents using folders, search forms, or any integration API.


Example:

  • Benedict Wade is a member of the role “Project Manager”, but not for all projects, only selected projects
  • He is Project Manager for projects no.: 2456, 4711 and 4587
  • He is only allowed to access and change the documents in Next® where these criteria are met
  • If Benedict Wade is no longer needed as Project Manager for project no. 4711, his access permissions can be updated by removing project no. "4711" from his role "Project Manager"

Managing roles can be done manually in Next® or through integration with a business system holding role information - e.g. project roles.

A standard configuration setup is included with the default installation package.

The business log

When you add or change user roles, the business log is updated.
