Bulk change of document metadata in Next®
Major productivity enhancement for those who work with numerous documents or contracts in Next®.
In order to ease and speed up the process of changing contract counterpart information, supplier name on invoices, or any other metadata belonging to a document in Next®, we're introducing a new feature enhancement:
- Bulk change of document metadata in Next®
Bulk change of document metadata in Next®
In any business, organisations and processes change - and so does documents and associated information in an enterprise archive. For example, for a selection of supplier agreements we would like to change the expiration policy from a 5-year to a 6-year policy. Or, all invoices belonging to the business unit (entity) 'Ajax Buildings, Inc.' now must be transferred to the new business unit 'Ajax Constructions, Ltd'.
A new action button is introduced in the action menu that, when opened, shows a form with preconfigured fields. However, in order to work, the form shown to the end user must first be preconfigured in the Next® administration console by a Nextway Consultant or Next® Specialist, in order to cater for the specific task required by the end user. Below are a few examples:
- Change all invoices with supplier name 'Yellow Fever GmbH' to supplier name 'Yellow Furniture, Inc.'
- Change all contracts with owner 'Next user A' to inactive
- Update all consent declarations with customer 'A. Jensen' from Expiration Policy '6 months' to Expiration Policy '1 year'
- Change entity for all contracts with entity 'Ajax Buildings, Inc.' to entity 'Ajax Constructions, Ltd'
- Change expiry date for all contracts with counterpart 'Yellow Furniture, Inc.' to 01.01.2021
...
