Line item match for Next® Invoices

New feature for those who use Next® Invoices for processing purchase invoices. 

In addition to the automatic 3-way match (Invoice, PO, and delivery) supported in Next® Invoices for decades, we now introduce the ability to interactively match individual line items in a Purchase Invoice  with the corresponding line items in the Purchase Order.

Automatic match

If the Purchase Invoice and Purchase Order matches 1 to 1, no operator intervention is required. 

Visual match

If the Purchase Invoice and the Purchase Order does not match, Next® presents the operator with an easy overview of identified line items in both the Purchase Invoice and Purchase Order.

First line is from the Invoice. Second line the Purchase Order. Discrepancies are marked in red. 

Correct errors in the Purchase Invoice

Next to the Line Item Match overview, you see the actual Invoice document. This allows you to identify any items that are either not automatically extracted, or extracted with wrong values.  Use Add Invoice Item or Edit Invoice Item to correct any errors.

In order to get an easier overview and focus on the items with issues, you can deselect items that matches.

Correct discrepancies 

Discrepancies between the Invoice and the Purchase Order can either be resolved in Next® - using Add PO Item and Edit PO Item - or directly in your Procurement System. Corrections made in Next® are automatically transferred to your ERP system. Updates made in the Procurement System are reflected with a Retry match.

Change 'Shipping costs' to 'Container' to allow for automatic match

Discrepancies tolerances 

Depending on your business rules, you define what level of discrepancies that is acceptable for each of your suppliers. 

The operator can accept discrepancies, but only within defined limits.

This new feature is available as an optional feature for Next® Invoices, and comes with additional cost. Any consultancy assistance will be invoiced.
